Introduction
- This guide will help you download the General Ledger (GL) and Trial Balance (TB) reports from Xero, ensuring the data meets Validis' upload requirements.
- Reports should be exported in (.CSV), (.XLSX), or (.XLS) file format.
- File size must not exceed 100 MB.
- Reports must already contain the required fields without manual manipulation.
How to Extract a General Ledger Report
Step 1: Locate the General Ledger Report
- Log in to your Xero account.
- In the Accounting menu, select Reports.
- Navigate to the Taxes and Balances section and select General Ledger Detail.
Step 2: Set Report Parameters
- Select the full date range required for your financial year or period.
- (dd-mm-yyyy) to (dd-mm-yyyy).
- Ensure that the General Ledger Detail report includes the following fields:
- Account Name (Included by default)
- Account Code
- Date
- Journal ID
- Net
- Source
- Invoice number
- Reference
- Description (Optional but recommended)
- Include zero balance accounts (if available)
Step 3: Generate and Export the Report
- In the Accounting menu, select Advanced.
- Click Export accounting data.
- If you're prompted, add a code to accounts in your chart of accounts.
- Select the date range of the data to export.
- (Optional) Select the Accrual or Cash basis checkbox to export the data on a cash basis. This option is only available for some products.
- Click Download.
- Ensure the report is in (.CSV), (.XLSX), or (.XLS) file format.
- Save the report for upload to the Validis portal
How to Extract a Trial Balance Report
Step 1: Locate the Reporting Section
- Log in to your Xero account.
- In the Accounting menu, select Reports.
- Navigate to the Taxes and Balances section and select Trial Balance.
Step 2: Configure Report Parameters
- Set a date range based on the financial year or period required.
- Select any other options you want the report to show.
- Click Update.
Step 3: Generate and Export the Report
- Check that all expected account balances are included.
- At the bottom right of the page, click Export and select Excel.
- Export the report in (.CSV), (.XLSX), or (.XLS) file format.
- Save the report for upload to the Validis portal
