How to connect QuickBooks Online and share your data with Validis
QuickBooks Online is a cloud accounting package, so there is nothing to install. You authorise the connection once in your browser, and Validis collects the data directly from QuickBooks Online. You can start the share from any machine with a supported browser.
Prerequisites
Before you start, make sure you have the following:
- You are online and connected to the internet.
- You have a QuickBooks Online account and can reach the data you want to share.
- You have Master or Company Admin access to that company's accounting data.
- You know the User ID and Password for your QuickBooks Online account.
You may need to ask your IT department for some of the above.
Step 1
Start the share in Validis
Sign in to your Validis portal. If you share data for more than one company, choose the right engagement from the dropdown next to the Engagements and Groups options, then select Share Data Now.
Check the engagement name before selecting Share Data Now.
Step 2
Choose QuickBooks Online
On Which accounting package do you use?, type QuickBooks Online into the search box and select it from the matches. The panel on the right confirms your choice and shows what happens next.
Select Next to carry on. Your browser is then handed over to QuickBooks Online to authorise the connection.
Search for your package, or pick one from the popular list underneath.
Step 3
Sign in to QuickBooks Online
Enter the User ID and Password for your QuickBooks Online account, then select Sign In. These credentials go to QuickBooks Online, not to Validis.

Once you are signed in, QuickBooks Online lists the companies associated with your user ID. If it asks you to create a company first, choose a country and company name and select Next.

Step 4
Choose the company and connect
Choose the Company whose data you want to share, check the details on screen, then select Connect.
The application name shown on this screen can vary. It is the Validis connector for QuickBooks Online.
Choose the company, then select Connect.
What happens next
You are redirected to the Validis portal, and the two systems then talk to each other in the background to move the data across.
How long this takes depends on the size of your company file and how many entries it holds, so it can run for several minutes. It is a transfer between the two systems rather than something running on your computer, so you can get on with other work, close your browser, or shut your machine down entirely. The transfer carries on regardless.
Your data is then queued for processing. You can follow the progress in your Validis portal, and you may need to refresh your browser to see the status change.
