Giving more than one person at your client access to upload data
Every engagement has one Key Contact, and you can add as many Additional contacts as you need alongside them. Each contact can upload data for that engagement, which is useful when responsibility is shared between people, or when you want cover while someone is away.
Contacts can be added when you create the engagement, and afterwards by your client from their own dashboard.
When you create the engagement
On the Create new Engagement form, both fields sit in the Client contacts section.
Step 1
Set the Key Contact
Search for the person in Key Contact if they already exist in Validis, or select + Add new contact to create and invite them.
Step 2
Add the additional contacts
Use Additional contacts the same way, searching for existing contacts or adding new ones. There is no limit on how many you add here.
The rest of the form is unchanged. See Adding an Engagement (inviting a client) for the full process.
After the engagement exists
Your client can add further contacts themselves, without coming back to you.
Step 3
Open the engagement details
On their dashboard, they select the engagement in the dropdown at the top left, then select Engagement details.
Step 4
Add the contact
Under Client contacts, they select + Add new contact, enter a First Name, Last Name and Email, all of which are required, then select Invite.
Step 5
Check the contact was added
The new contact is invited by email and listed under Additional contacts. Selecting the cross beside their name removes them from the engagement.
If a contact looks after several entities
A separate engagement is needed for each entity. Create one per entity, and select the same person as the Key Contact each time rather than entering their details again. Every engagement they are named on then appears in the dropdown at the top left of their dashboard when they sign in, and no further action is needed from them.
