How to securely share your Dynamics 365 Business Central (Online) data with Validis
Business Central Online connects to Validis directly, so there is nothing to download or install on your computer. Instead, the Validis extension is installed in Business Central, and you give Validis your Tenant ID so it knows which Microsoft tenant to connect to. You only need to do that once. After that, you sign in to Microsoft, grant permission, and choose the company to share.
Please note
Whoever runs the share needs the Cloud Application Administrator role in your Microsoft tenant. Without it you cannot get past the permissions step. Your IT team can grant it, and Microsoft's admin consent documentation explains what it does.
Before you start
Check these things before you begin. Sorting them out now avoids getting interrupted partway through the upload.
- Make sure you're online. Your data is sent while the process runs, so a stable internet connection is needed throughout.
- Have a working accounting package, and be able to reach the data you want to share within it.
- Have a Dynamics 365 account with Extension Management permissions.
- Have the Validis extension installed. Follow the MS Dynamics 365 Business Central Online Setup Guide if you haven't already.
- Know your Tenant ID. The next section shows you where to find it.
Finding your Tenant ID
Your Tenant ID is in your Business Central Online dashboard. Go to businesscentral.dynamics.com and sign in.
Select the question mark (?) on the right of the banner to open the Help sidebar, then select Help & Support under Other Resources.
In the Help & Support window, the Tenant ID is near the bottom left, labelled Microsoft Entra ID. Copy it.
Sharing your data
Step 1
Get started with your engagement
Log in to the Validis portal, select the relevant Engagement, then select Share Data Now.
Step 2
Choose your package and enter your Tenant ID
Search for or select your accounting package from the list; if not already selected, choose Dynamics 365 Business Central (online). The Tenant ID field appears underneath. Paste in the ID you copied, then select Next.
Your Tenant ID is saved for future shares, so you only enter it once. It appears at the bottom of the list of accounting packages, where you can edit or delete it if you need to.
Step 3
Sign in and grant permissions
You are prompted to sign in to your Dynamics 365 account and grant permissions to the application. Read the terms shown, and when you are ready, select Accept.
This is the step that needs the Cloud Application Administrator role. Without it, you cannot go any further.
Step 4
Choose your company and submit
Once you have accepted, choose the company you want to upload your data from, then select Submit. The share begins.
After you've shared your data
Your data now queues for processing in the Validis central system. You can switch off your computer and disconnect from the network at this point if you want to.
You can track progress in the Validis portal, where the status moves from Processing to Completed. You may need to refresh your browser to see updates.
